Data Storage & Backup

HiveCare stores your account data securely on its servers so your information stays available across web and mobile devices. Your data is not stored only on your device, which means reinstalling the app, changing devices, or logging in from another location does not remove your information.

Where your data is stored

HiveCare keeps your account information, conversations, notifications, team data, and preferences securely on the platform.

Data stored by HiveCare may include:

  • Account information such as your name, email, profile photo, and preferences.
  • Organization information, including team members, roles, and permissions.
  • Messages and conversations within your organization.
  • Notifications and account activity.
  • Security information such as devices, sessions, and verification records.
  • Audit records required for compliance and accountability.

Sync across devices

HiveCare uses a server-based system, so your information stays synchronized across all devices where you use HiveCare.

Your data automatically syncs across:

  • Web browsers.
  • iOS devices.
  • Android devices.

This includes:

  • Conversations and messages.
  • Read and unread status.
  • Notifications.
  • Team and organization information.
  • Profile settings and preferences.

There is no manual export or transfer required when switching devices. Simply log in with the same account and the information you have access to will be available.

Backup and data protection

HiveCare maintains safeguards designed to help protect your information and keep the service reliable.

Because your data is stored securely on HiveCare’s servers:

  • Deleting and reinstalling the mobile app does not remove your account data.
  • Losing a device does not delete your information.
  • Logging in from a new device allows you to access your available data after verification.

For security, new devices may require email verification before gaining access.

Organization records and retention

Some information is maintained as part of your organization’s records and compliance requirements.

Examples include:

  • Messages and attachments shared through organizational conversations.
  • Audit records showing important account activity.
  • Security and compliance events.

When a user deletes their account, personal identity information is removed according to HiveCare’s deletion process. However, certain organizational records may remain available because they are part of the organization’s compliance history.

See How do I delete my account? for more details.

Audit records

Audit Records provide organizations with a reliable history of important actions, including:

  • Login activity.
  • Security events.
  • Team changes.
  • Role updates.
  • Account actions.
  • Legal acceptance records.

Audit records are read-only and cannot be modified or deleted by users, including administrators.

Managing your data

Users can manage certain account information from:

Profile → Settings

Depending on your role, you may be able to manage:

  • Profile information.
  • Language preferences.
  • Notification settings.
  • Security settings.
  • Active devices and sessions.

Administrators can manage organization-level settings, users, roles, and access permissions through Team Management.
